The “Vibe Check” update

We know how much a quick update can mean during a busy night. During every shift your provider sends at least one high-quality photo or text update, so you know everyone has settled into the routine — and you can focus entirely on your evening with peace of mind.

The Daily Handoff Log

Every shift concludes with a detailed Daily Progress Log. This isn’t just a “good / bad” report — it’s a professional overview of meals, mood, milestones, and how your child engaged, waiting for you when you walk through the door.

The “Vibe Check” trial

A dedicated 30-to-120 minute introduction to make sure we’re the right match — before any regular schedule begins.

1 · Initial interview (virtual)

A 15-minute meeting over Zoom or Google Meet to walk through the portfolio booklet and your family’s needs and wants. Ask anything — this is your time. The initial virtual meeting is always complimentary.

2 · The trial session

One 2-hour trial session (supervised or unsupervised, based on your comfort). This first session is our gift to you — complimentary — so your child can explore the Engagement Bags and we can confirm our ECE approach aligns with your family.

The child observation (60 min)

We bring a mini Engagement Bag and observe how your child interacts with new tools — sensory-seeking, logic puzzles, responses to a new face. For neurodivergent learners we look for joint-attention cues and social reciprocity to best support their communication style.

Aligning on routines (20 min)

We discuss nap rhythms, settling methods, food preferences, and — most importantly — your “parenting north star”: what matters most to you right now. We wrap up by confirming the vibe is a match, then move straight to onboarding and scheduling.

An evening with us

A sample of the 6 PM-to-bedtime rhythm. It’s a template — we always follow your family’s existing routines and adjust every timing to match your child’s needs.

  1. 6:00 – 6:30 PM

    Arrival & connection

    Your nanny arrives as you transition out, starting with a low-energy connection activity from the Engagement Bag — a sensory bin or a “mystery object” sign-language game — so the children settle in while you say your goodbyes.

  2. 6:50 PM

    Healthy supper

    Assisting with or preparing a nutritious evening meal. Dinner is a chance for “table talk” or practising meal-related signs like eat, drink, more, and please.

  3. 7:15 PM

    Active play & ECE engagement

    A window for brain-building play — a themed craft, a building challenge, or a movement game to get the last wiggles out before the wind-down begins.

  4. 8:00 PM

    Bath & literacy

    Transitioning to the bathroom and pajamas, followed by a dedicated literacy session — 2–3 books together, often with signs to match the story’s key words.

  5. 8:30 PM

    Bedtime routine

    The final calm: tucking the children in with a consistent, gentle routine — songs, white noise, or a quiet chat.

  6. 9:00 PM

    The “reset” & daily log

    Once the children are asleep, a light reset of the kitchen and play areas, plus a full daily log so you have a report on their evening, mood, and milestones when you walk through the door.

The Fourth Trimester

Newborn & overnight restoration

A restful night for your baby means a restorative night for you. By default we follow gentle, cue-based care and never wake a safely sleeping infant unless you request a strict schedule.

The hand-off & overnight (9 PM – 6 AM)

  • A quick huddle on the day’s feedings, diaper patterns, and your baby’s soothing preferences — then parents head to bed for uninterrupted rest.
  • Consistent monitoring through the night with immediate response to wakings — soothing, diaper changes, and feedings (bottle, or bringing baby to you for nursing).

The sunrise hand-over (6:30 – 8 AM)

  • While baby has their first stretch, your nanny handles the “invisible load” — washing bottles, prepping the diaper station, starting the morning log.
  • You wake to a home that’s reset: bottles sanitized, coffee ready, and a detailed log of the night’s sleep and feeding patterns.

Our specialized newborn approach

  • Evidence-based, safe-sleep soothing — swaddling, white noise, and rhythmic motion tailored to your baby’s temperament.
  • Feeding support that respects your goals, whether you’re breastfeeding, pumping, or formula-feeding.
  • Gentle “social openings” even at the newborn stage — eye contact, high-contrast visuals, and responsive touch to build early attachment.

“Mothering the mother”

The goal isn’t just to watch the baby — it’s to give you the space to recover, knowing every detail is handled with ECE-level care, from sunrise to dusk ’til dawn.

Service & policies

Booking & payment

  • A 3-hour minimum applies to all regular bookings to maintain the “Elevated” standard of care and routine.
  • Drop-in services are pre-paid or secured with a non-refundable 50% deposit of the service charge.
  • For drop-in care, payment is due at the end of every shift.
  • Long-term families are billed on an automated biweekly cycle — invoices issued every 14 days, payable within 24 hours via e-transfer, with a detailed line-item breakdown.
  • Accepted methods: Interac e-transfer (preferred) to theelevatednanny@gmail.com, or cash.

Agency security deposit

Effective on your upcoming billing cycle, a standard Agency Deposit is added as a line item to upcoming invoices — with the exception of families who have already proactively placed a deposit on file.

This deposit is tiered based on your family’s care structure:

  • Part-time clients: $100 security deposit.
  • Full-time clients: $250 security deposit.

If you’d prefer to settle your deposit sooner to get it out of the way, you’re welcome to send it over at any time via Interac e-transfer to theelevatednanny@gmail.com.

This deposit serves as a vital financial nest egg, ensuring we can always guarantee our hard-working caregivers’ wages on time and keep them happily committed to your family’s long-term schedule. It also helps fund continuous background screening, driving-record and First Aid/CPR renewals, advanced ECE staff training, guaranteed backup care if your caregiver is sick or away, and free year-round access to our Elevated Village community events.

Cancellation policy

Our educators block out their personal schedules and frequently turn down other work to commit to your family’s booked shifts — and many travel significant distances to reach your doorstep.

  • 48+ hours’ notice: no charge — full credit applied to your next booking.
  • 24–48 hours’ notice: a 50% cancellation fee of the booked shift applies.
  • Less than 24 hours’ notice: the full shift amount is due.
  • Any last-minute cancellation is billed in full to your next invoice, so our nannies are still fairly compensated for their committed time, lost hours, and commuting efforts when plans change suddenly.

Non-payment & service suspension

To ensure absolute fairness to the nannies who show up daily for your children, we maintain a strict policy on overdue accounts.

  • Any missed payment or unsettled invoice past its due date results in an immediate suspension of all childcare services.
  • Care remains paused until the outstanding invoice, any accrued late fees, and the standard agency deposit are fully paid off.

These protective measures strengthen the backend of our business so our frontline caregivers can focus entirely on what they do best: providing intentional, inclusive, top-tier care for your little ones.

Service zone & travel

  • Mileage: families within the Edmonton region are charged $0.73/km for any visit that includes vehicle travel.
  • Extended-zone surcharge: Leduc, Sherwood Park, St. Albert & surrounding areas are subject to an $80 flat-rate charge.
  • Travel ensures the team — and our specialized Engagement Bags — arrive safely, on time, and ready to focus 100% on your child.

Overnight & 24-hour care

  • A Professional Hybrid Model keeps your home supervised around the clock.
  • Active (waking) hours are billed at your standard hourly rate.
  • A flat sleep fee covers the overnight rest window, when the nanny is on-call and responsible for the home (amount discussed at your consultation).
  • The “wake-up” clause: if a child needs active care for more than 30 minutes during the sleep window, the hourly rate resumes for that support.
  • For stays over 12 hours, a private, clean sleeping space and meals are provided.

Health & illness

  • The 24-hour rule: for the safety of all families, care can’t be provided if a child has had a fever (38°C+), vomiting, or diarrhea within the last 24 hours.
  • Medication: pre-measured medications are administered with written parental consent and clear instructions.
  • Providers maintain current Child Care First Aid & CPR certification.

Home & housekeeping boundaries

  • The “reset” rule: the home is always returned to the state it was found in — including washing dishes used for the children’s meals and tidying toys used during the shift.
  • Providers are ECE specialists, so deep cleaning, heavy or adult laundry, and general housekeeping aren’t included (overnight tasks can be discussed).
  • Timely release: please return within 15 minutes of the scheduled end time, or communicate ahead, to respect providers’ personal time.

Safety & home environment

  • Parents must be reachable by phone during the shift; a secondary local contact is required for “no-service” zones.
  • Pets with a history of reactivity are secured in a separate area during active play and transitions.
  • Nanny cams are welcome but must be disclosed in the initial agreement; recording in private areas (bathrooms or the nanny’s sleeping quarters) is strictly prohibited.
  • A zero-tolerance policy protects our staff from hostility or abuse.

Photos & social media — your choice

  • You choose your preferences for private daily-update photos, ECE portfolio use, and any public/marketing use — including anonymous (face-hidden) options.
  • No tagging: a child’s personal account, full name, or location is never disclosed in public posts.
  • You can change or revoke consent at any time in writing.

The Elevated Circle — referrals

  • When a family you refer completes their first Vibe Check, you receive a $25 referral credit.
  • Consistency bonus: if they become a recurring client (4+ sessions), you get one complimentary “Home Reset” hour or $50 off your next full evening session.
  • Your referred family enjoys 10% off their first Vibe Check when they mention your name at booking.
